Privacy and Security Policy

Rehoboth Community Trust · Effective date: 12 October 2026

This policy explains what personal information the Rehoboth Community Trust collects through rehotrust.org, why, and how it is protected.

1. What we collect

1.1

When you buy something: your name, email address, the item you bought, the amount, and the date and time of payment. If you buy tickets, we may also ask for the names of the people attending.

1.2

When you use the contact form: your name, email address, phone number (if you provide it), and your message.

1.3

Card details: your card number, expiry date and security code are entered on our bank’s secure payment page and are handled only by the bank. The Trust never receives or stores them.

1.4

Technical information: our hosting provider records standard technical details, such as IP addresses and the pages requested, to keep the website secure and running.

2. What we do not collect

2.1

This website does not use advertising, tracking or analytics cookies, and does not follow you across other websites.

2.2

Your browser stores two small preferences on your own device: your choice of English or Afrikaans, and whether you have already seen an announcement pop-up. These are never sent to us.

3. How we use your information

  • to process your payment and deliver what you bought;
  • to send your download link, ticket or receipt;
  • to answer your questions and handle refund requests;
  • to keep the financial records the law and our bank require; and
  • to protect against fraud and misuse of the website.

We do not sell or rent your personal information, and we do not use it for marketing unless you have asked to hear from us.

4. Who we share it with

We share information only with the service providers needed to run the website and process orders, and only as much as each one needs:

  • our bank, which processes card payments;
  • our website hosting provider, which runs the website and stores order records;
  • our email delivery provider, which sends download links and receipts; and
  • Swift Designz, which maintains the website on the Trust’s behalf.

Where proceeds are shared with a partner (such as the Reho-Genealogy-Group), we share only total sales figures, not buyers’ personal details. We will also disclose information where the law requires it.

5. How long we keep it

5.1

Order and payment records are kept for 5 years to meet accounting and tax requirements, and never for less than the 180 days our bank requires. Contact form messages are kept only as long as needed to deal with your enquiry.

6. How we keep payments and information secure

6.1

The whole website is served over encrypted HTTPS connections.

6.2

Card payments are made on our bank’s secure payment page. Your card details go directly to the bank and never pass through or are stored on our website. Payment processing meets PCI DSS, the security standard set by the card industry.

6.3

Payments are protected by 3D Secure, which may ask you to confirm the payment with your own bank, for example by a one-time PIN.

6.4

Access to order records is limited to authorised people.

6.5

If we become aware of a security incident affecting your information, we will inform you and our bank promptly.

7. Your choices

7.1

You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Email rehtrust@iway.na and we will respond within 10 working days.

8. Changes and contact

8.1

We may update this policy from time to time and will publish the current version on this website.
